Using AI Safely in Your Accounting and Tax Work: Practical Use Cases and Risks

Where AI genuinely saves time in accounting and tax work, and the checks you need to keep it accurate and confidential.

AI tools can now draft, summarise, analyse spreadsheets and answer questions in seconds. For accounting and tax work, that can save real time, but only if you use them with clear limits and good checking habits.

Where AI helps

  • Drafting: first drafts of client emails, notice replies, engagement letters and internal notes.
  • Summarising: long circulars, notifications and contracts into plain language.
  • Spreadsheet work: formulas, data cleaning, matching entries and spotting unusual items.
  • Research starting points: finding which provisions may apply, which you then verify at the source.
  • Explaining: turning technical points into simple language for clients.

The main risks

  • Wrong or outdated answers. Tax rules change often, and AI can state old section numbers, rates or due dates with confidence. The move to the Income-tax Act, 2025 is a good example.
  • Invented references. Citations, case names and notification numbers may be made up.
  • Confidentiality. Client names, PAN, GSTIN and financial records are sensitive. Check a tool’s data policy before pasting anything.
  • Over-reliance. The professional or business owner remains responsible for the final output.

A simple safety routine

  1. Remove or mask personal identifiers where you can before sharing data.
  2. Use tools whose terms say they do not train on your business data, or use enterprise versions.
  3. Verify every section number, rate, due date and figure against the official source.
  4. Recompute calculations independently.
  5. Keep a human review step before anything goes to a client, a portal or an authority.

Data protection

India’s Digital Personal Data Protection Act, 2023 sets obligations on handling personal data. If you process clients’ personal data, check how the law applies to your situation and keep records of how data is handled.

Good first projects

  • Standard reply templates for common notices.
  • Monthly checklist generation for compliance dates.
  • Summaries of new circulars for your team.

Frequently asked questions

Can AI file my GST or income tax return?

AI can help prepare and check data, but filing and verification remain your responsibility on the official portals.

Is it safe to paste client data into an AI tool?

Only after checking the tool’s privacy terms, and ideally after removing identifiers. Confidential data should not go into tools with unclear policies.

Can AI give wrong tax answers?

Yes. It can quote outdated rules or invent references, so always verify with official sources.

Will AI replace accountants?

It automates routine tasks, but judgement, accountability and client relationships still need people.
